Audit Management 5.0 Implementation
Use Case Description
Replace an existing standalone application to reduce costs, provide opportunities to collaborate with other stakeholders, and leverage existing support resources within Manulife and RSA.
Innovative Capabilities and/or Configuration
Audit team was interested in version 5 of the Audit Management Solution. The following are the high level steps/tasks performed to implement the solution.
- Upgrade Archer Platform from v5.3 to 5.5.2.1
- Install Audit v5 package
- Business, technical team, and RSA Partner resource worked together to define requirements and develop the solution
- Not all applications/sub-solutions were used by Audit
- Development handover from RSA Partner resource to Manulife technical team occurred in the System Integration Testing Stage
- Introduction of Archer to Archer Datafeeds to Manulife
- No documentation was available on Datafeeds so Manulife created documentation
- Calculations were leveraged to aid with workflow across applications (e.g. calculation in Application A, references calculated field in Application B, which may reference a field in Application C)
- Audit group took initiative in multiple “shared” applications to define and develop based on their requirements and shared with other business groups (Compliance and Risk)
- Pre and Post implementation, Audit team provided in person as well as webex training globally (North America and Asia) to ensure adoption of newapplication
For Manulife, this was one of our largest implementations and introduced a lot of functionality that has either not been used previously or not used previously the way it was implemented for Audit.
- Archer to Archer datafeeds triggered in an application by selecting values in a field and then selecting Ready
- Leveraging rules on Manual Record Permission fields to change records from editable to Read Only
- Using Calculations that relate to other applications to enable workflow within an application
ROI - Dollars, Efficiency Savings, and/or Other Gains using the functionality in Archer
- Better user experience than previous tool
- Ability to create reports to include data/information that was not available in previous tool
- Updates/configuration changes are implemented faster
- Availability/down time of application greatly reduced
How Use Case Integrates with Other Use Cases Inside or Outside Archer
Since the implementation of the Audit Management solution the different business areas have become more collaborative and willing to share ideas. Ever area has become more engaged and interested in how changes impact not only their area, but others as well.
I'd also like to add the following lessons learned:
There were many lessons learned on this project with the main one being less is more. Start simple then get more complex as users get used to the applications and workflow expectations. Just because something is technically possible does not always mean it is a best practice or will provide benefit.
