We understand that completing detailed assessments can take significant time and effort. Teams and vendors often manage large volumes of information and lengthy questionnaires, making the process demanding and sometimes slow to complete.
That’s why we’re excited to introduce AI Auto-Fill, a powerful new feature that leverages artificial intelligence to eliminate manual data entry and make questionnaire completion faster than ever.
With AI Auto-Fill, vendors can now respond to assessments quickly, reducing friction and encouraging timely participation. For clients, this means quicker responses, smoother assessments, and an overall faster path to risk insights.
Key Considerations
- To access and use this feature, clients must have an active Engage license and a completed Engage setup.
- The feature is currently available in the US, EMEA, and APJ regions. Please note that it is not available in Canada and the UAE at this time.
- This feature will be available at no additional cost, so users can fully experience and benefit from it.
- This is an opt-in feature. The AI capability will be turned off by default, and Engage Administrators can choose to enable or disable it for each instance as needed.
- AI Auto-Fill is available for assessments published to both Vendors and Internal (Business) Users.
Feature Overview
A new “Settings” tile has been added to the Administration page in the Engage portal. When selected, it displays a list of all instances, with the AI Auto-Fill feature disabled by default for each instance. Engage Administrators have the flexibility to enable or disable the feature as needed for individual instances.
For clients who participated in the beta program, the instances they had previously chosen to enable will remain active by default.
Once the feature is enabled for a instance, an AI icon will appear in the top-right corner when an assessment is opened. Clicking this icon will display the option to upload files, as shown in the image below. These files are used to perform the Auto-Fill operation.
When a user initiates AI Auto-Fill, they’ll first be given the option to either override existing responses or retain them, offering flexibility based on the specific needs of each assessment.
Once the user confirms their choice, Auto-Fill begins, and the assessment is temporarily locked for editing while the AI processes the uploaded documents and populates relevant answers.
During this time, users are free to continue working on other assessments, ensuring uninterrupted productivity across their workflow.
Once AI Auto-Fill completes its run, relevant responses are automatically populated using data extracted from the uploaded documents.
To help users easily identify which responses were filled by AI, each AI-generated answer is marked with a distinct indicator.
For even greater efficiency, users can apply a dedicated filter to view only AI-answered questions, making the review and validation process faster and more focused.
While AI Auto-Fill significantly reduces manual effort, we strongly recommend reviewing all AI-generated responses, as there may be inaccuracies or context-specific nuances that require a human in the loop.
To support this, Engage will display a review reminder message when users click ‘Submit’ on any assessment where AI Auto-Fill was used, ensuring responses are double-checked before final submission.
Frequently Asked Questions
Will AI Auto-Fill work with DDE?
Yes, Autofill will work with DDEs provided the actions are configured after a rule for a particular field.
Example: If Q1, Q2, Q3 and Q4 are the questions, then If a rule is configured on Q2, then any actions set on Q3 and Q4 or even displaying a new question Q5 will work and AI autofill will fill the answers for those questions. However, if the action is set to display Q1.1(through ACL) which appears before Q2, then AI autofill will not answer that.
Will the documents that are uploaded to complete the assessment be fed back into Archer upon submission?
No. Documents uploaded to complete the assessment will not sync back to Archer. They are used only within Engage for answering questions.
Should I review the answers generated by AI?
Yes. It's important to review all AI-generated responses before submitting the assessment to ensure accuracy and completeness.
Will the Archer user be able to see what answers were completed via AI when the responses are ingested back into Archer?
No. AI-generated answers are not marked or identified in Archer after the responses are ingested. The distinction is only visible within Engage during review.
Will my uploaded data be combined with data from other organizations?
No. Each assessment’s data is processed in a separate infrastructure container, ensuring your data is isolated.
Will the data in the file uploaded be used to train the model?
No, the data uploaded will not be used to train the model. we use a base LLM combined with Retrieval-Augmented Generation (RAG) to implement this functionality. The source of truth comes from the documents uploaded by the Engage user.
How long will the uploaded file stay in Engage system?
Uploaded files are retained only for the duration of the assessment lifecycle. Once the assessment is deleted, the associated files are deleted as well.
Which field types will be filled by AI Autofill?
AI Autofill will fill all field types supported in Engage, except for the following two:
- Attachment fields
- "Other" text options in value lists
How will my vendor or supplier know how to use this feature?
