Archer SaaS is introducing enhancements to database (DB) storage usage monitoring that empower clients to maintain system stability, improve transparency, and proactively manage their DB storage usage. These updates are designed to support administrators and end users in avoiding disruptions and optimizing their environments with greater confidence.
What’s Changing?
As part of this change, Archer will roll out:
- Enhanced alerts and usage monitoring to support proactive storage oversight.
- Clear UI messages to inform users as they approach or exceed licensed DB storage limits.
- Content save restrictions only when DB usage for the instance exceeds overall licensed DB capacity, ensuring system integrity.
Post deployment of Archer 2025.10 release, these capabilities will be introduced in non-production environment first on 12 Nov 2025, followed by production environment three weeks later on 4 Dec 2025.
Who Is Impacted?
Clients with any instance nearing or exceeding their licensed DB storage limits will benefit most from these enhancements. The goal is to provide early visibility and actionable insights before any service impact occurs.
How to Stay Ahead?
Monitor Usage via Admin Dashboard
Admins can view real-time DB usage across all instances directly from the Admin Dashboard. Key metrics include:
- DBLicensedStorage – your total licensed DB capacity.
- DBStorageUtilised – current DB usage for that instance.
This visibility enables timely decisions and helps prevent service interruptions.

Understand the New UI Messages
1.When an instance’s DB usage reaches 100% of overall licensed DB storage
Warning messages will appear for both admins and end users highlighting that the licensed DB limit has been reached.

2.When an instance’s DB usage reaches 110% of overall licensed DB storage
Content save actions (e.g., adding or updating records) will be temporarily disabled until DB usage for the instance drops below the 110% of overall licensed DB limit or additional DB storage is provisioned.

Importantly, users will still be able to log in, view content, and initiate cleanup actions even when content save is restricted.
Key Considerations
- This functionality calculates the limit percentage based on the database usage of the specific instance, rather than aggregating usage across all instances.
- Attachment storage usage is excluded from these calculations.
- Only Cleanup jobs remain operational when content save is blocked.
- Restrictions also apply to Data Feeds, Calculations, and History Log Writes.
Note: Clients already exceeding the 110% threshold at launch will not face immediate content save restriction. Instead, they will receive warning messages and are encouraged to take timely action.
Recommended Actions
If your instance is approaching or has exceeded its licensed DB limit:
- Delete outdated or unnecessary records
- Archive inactive applications
- Adjust History Log retention settings
If content save is blocked, and you are trying to free up storage by deleting records, wait for an hour for the content save to be enabled again.
In case of using methods like archiving applications or adjusting the history log, it may take up to 24 hours for content save to be enabled again.
